Discover the benefits and use cases of the Avantiico MCS Super Journal function for faster, simplified multi-company journal imports in Microsoft Dynamics 365 Finance.
Avantiico’s Multi-Company Super Journal is a powerful feature within the Advanced Multi-Company Solution, the accounting software built for multiple legal entities. The Super Journal feature fulfills a common and essential multi-entity accounting requirement for high-volume Multi-Company journal imports in D365.
Virtually every instance of Microsoft Dynamics 365 for Finance and Operations needs this feature for Excel and CSV formats. It has the potential to be widely beneficial across all types of multi-entity organizations and industries because of its ease of use and simplification of the journal import process.
When D365 Multi-Company journal imports are faster and simplified, everything becomes easier. Time is saved. Dynamics 365 Data Migration becomes painless. System integrations are more manageable. Data quality, data analytics, and data fixes become easier, which means data reliability improves. Operational efficiency is optimized, resulting in work related to multi-entity accounting getting done with less effort and stress. Overall, you’re in control. The results are less time spent on data entry and more time dedicated to valuable data analytics and business decisions.
Microsoft provides multiple methods, including Data Management Framework (DMF) and Excel Add-In (EAI), to import journals. On the other hand, Avantiico’s Advanced Multi-Company Solution, AMCS, provides an improved journal import workflow with multiple features that streamline the journal import process. Microsoft’s DMF and EAI both require separate files for separate legal entities. EAI has limited speed and is more suited to smaller files of approximately 10 thousand rows or less. Switching legal entities for multi-company journal imports necessitates repetitive, time-consuming work.
Additionally, manual steps are needed for specifying journal batch numbers and voucher numbers. On top of that, financial dimension values are concatenated into a single field with hyphens. The MCS Super Journal imports provide a much more sophisticated approach.
Avantiico’s Advanced Multi-Company Solution offers several features that simplify multi-company journal imports. Let’s take a closer look:
Avantiico AMCS supports all journals included in the Journal Names functionality at the menu path: General ledger > Journal Setup > Journal Names. These include:
Journals are flexible – you can put any ledger type on any entry for either the debit or the credit.
AMCS simplifies the entire importing process. You can use one file for an unlimited number of legal entities and put inter-company or intra-company journal entries into the same file on different lines. There is no need to switch legal entities and use multiple files for multiple legal entities. You can use a single, central location to initiate import. There are fewer templates and files to touch. It is simple and less complex, saving both time and effort.
You can also use a single template and the same format for all your Journal names.
This saves time for every processing step. Processing steps can be run one at a time or all at once. The processing steps are:
Progress status updates are provided and expressed as a percentage of completion for processing larger files.
Another nice feature of AMCS is that financial dimension values are managed in separate fields for each financial dimension. This is easier than having financial dimensions be represented as concatenated values separated by hyphens. With separate fields, you can use Excel formulas, including lookups, to derive your values for financial dimensions. Therefore, assigning values becomes more accessible.
With AMCS, Journal batch numbers and voucher numbers get assigned automatically. There is no need to work manually with variables like Journal Batch Numbers and Voucher Numbers.
Data Management Framework (DMF) and Excel Add-In (EAI) are great tools in the standard Dynamics 365 Finance and Operations product. They can be configured and used for Ledger Journal Imports. However, both tools require steps so that Journal Batch Numbers and Voucher Numbers will be assigned correctly without errors. Avantiico AMCS Super Imports streamlines these tasks via automation. When these details are managed for you, the risk of errors is minimized, which means an overall simpler workflow.
Using Avantiico AMCS Super Journal for Ledger Journal Imports, validations are not bypassed. In fact, they are done twice. First, a “light validation” is done in AMCS upon initial data upload. This initial validation enhances error handling and helps detect hidden rows and duplicate records. Next, standard validation logic is applied in F&O before journal posting.
Avantiico AMCS provides multi-threaded batches for higher import volumes. Multi-threading is managed for you and uses the server’s processing power to load, validate, and post large files faster. Again, this is managed for you with Avantiico’s AMCS and is another advantage over the standard product.
AMCS Super Journal Import for D365 multi-company journal imports supports integrations and automated file processing. The AMCS framework works with Azure File Share. Alerting users when errors occur. Processed files are archived in folders named Success/Processed or Error folders. Again, batch threading speeds up the processing of large journal files.
AMCS picks up files from Azure File Share and processes them automatically. External systems can drop files in Azure, and they can be processed automatically without anyone touching D365FO. For more on this, see link: Azure Files – Managed File Shares and Storage | Microsoft Azure
Automated processing includes an optional workflow for tracking approvals of journal entry files before they are imported and posted.
Journal processing paths can follow one of two alternatives:
Avantiico’s Super Journal feature in the Advanced Multi-Company Solution provides a simplified ledger journal import process to enhance your multi-entity finance capabilities in D365 Finance and Operations.
Enhanced D365 Multi-Company Journal imports help accounting and finance teams to do more better and faster. Teams will experience the benefits throughout their day-to-day accounting tasks of managing companies with multiple legal entities.
