Power Apps Portals

Extend access to your organization data from any app in the Microsoft Dynamics 365 suite over the web to your vendors, partners and clients, while maintaining full access control using out-of-the box templates, or create your own from the scratch. Power Portals is a low-code website platform with out-of-the box authentication that easily integrates into the Dataverse. Previously only available as a Microsoft Dynamics 365 Customer Engagement Apps add-on, Power Portals are now offered on a standalone basis with a free 30-day trial.

What are Power Apps Portals

Power Apps Community Portal

Power Portals is a low-code website platform with out-of-the box authentication that easily integrates with Dataverse. Previously only available as an add-on, it is now offered as a standalone product and starts as 30-day free trial.

The following portal templates are available and could be customized and provisioned almost instantly:

  • Community Portal with self-service and assisted features, forums, blogs, polls, knowledge articles and ability to submit service tickets
  • Customer Self-Service Portal is similar to above but is more self-service centered
  • Employee Self-Service Portal
  • Partner Portal has the same functionality as the Community Portal above, but is more partner-oriented
  • Customer Portal is synced with the Dynamics 365 Supply Chain Management App for order processing and invoicing

If none of the templates suite your organizational needs, a low-code Portals Studio allows for building a website from scratch in portal from blank option.

Use Cases for Power Apps Portals

  • Customers can submit orders, payments, and track the status of their shipment or dispute online by directly accessing your Dynamics 365 apps. From a security stand-point could be grouped by organization, each seeing only the information you allow them to see. Confidential information: contract details and terms, discounts and product bundles, payment details and preferences - remains hidden from the others.
  • Vendors receive streamlined onboarding, can change their payment and insurance details, access invoice and dispute information directly in your system and without a single phone call to the accounting department.
  • Local government has a citizens portal for submitting COVID-19 emergency subsidy applications and viewing its status, responding to the frequently asked questions and providing a feedback channel for submitting service requests.
Power Portals Use Case Scenarios

Free 30-day Trial of the Portals

Currently Microsoft is offering a free trial of Power Apps for individual and development use under the community license. It allows for building unlimited number of apps and includes Dataverse, It also allows building one portal from blank even if you don’t have licenses for the relevant Dynamics 365 products.

Power Portal Lifecycle Create to Delete

On creation, the portal is provisioned in a Development Environment and is, by default, a 30-day free trial. It has complete functionality of a Production Portal and is accessible to external and internal users via the link you pick on creation.

After the trial is over, the portal is suspended for 7 days. It can be converted to Production environment at any time during the Trial or Suspension periods. If not converted, the portal is automatically deleted.

On conversion to Production, the portal is no longer free and requires your organization to obtain appropriate license. It remains free for external users as long as your organization has paid for the access.

Licensing costs

Portals are provisioned without a license needed for external users. The access is charged to the organization, providing the portal. Authenticated external users (those with a login and password tied to a security role) are consuming a per-login allowance available in different tiers. Multiple logins with the same credentials over the 24-hour period count as a single login. Portal use rights are included in the Power Apps license for the internal users. Please view our Power Platform Licensing page for more details.
